How to Create an Email Distribution Group In the Microsoft Office 365 Global Address List

( INSTRUCTION FOR TECHNICAL STAFF WITH ACTIVE DIRECTORY ADMIN ACCESS ONLY)

  1. Open the Active Directory Users and Computers application
  2. In an appropriate Organizational Unit (OU) that you have control over create a new group.
  3. Name the group something descriptive.

BEST PRACTICE: Try to match any naming conventions that are being used.

  1. Set the group type to either “Security” (recommended) or “Distribution”.
  • Security groups can be used to assign permissions as well as act as email distribution groups.
  • Distribution groups can only distribute email.
  1. Search the Active Directory to make sure that the email address you are intending on using is not in use by another object.
    1. In the Active Directory Users and Computers tool choose Find from the Action Menu.
    2. In the Find Window select “Custom Search” from the Find drop down box.
    3. Click on the Advanced Tab
    4. In the LDAP query box enter mail=<something>@unloffice365.unl.edu (ie. mail=is-chc@unloffice365.unl.edu)

NOTE: You can use a * as a wild card character.

  1. Click the Find Now button and review the results
  2. Enter the unique email address “<something>@unloffice365.unl.edu” in the email field on the General Tab.

NOTE: If you will want to be able to send messages to this group from outside of the Office 365 environment you will also need to have a @unl.edu address created for the group. This is a separate process described below. The part of the email address before the @ should be the same for both the @unl.edu and @unloffice365.unl.edu addresses.

  1. We now need to enter a display name. The display name is the value that will appear in the Office 365 Global Address Book. The display name also needs to be unique in the Active Directory so with a value in mind search the Active Directory to verify it hasn’t already been used.
    1. In the Active Directory Users and Computers tool choose Find from the Action Menu.
    2. In the Find Window select “Custom Search” from the Find drop down box.
    3. Click on the Advanced Tab
    4. In the LDAP query box enter displayName=<your group name> (ie. displayName=UNL IS – Computer Help Center)

NOTE: You can use a * as a wild card character.

  1. Click the Find Now button and review the results
  2. On the Attribute Editor Tab fill in the unique value for “displayName”.

BEST PRACTICE: Use the same value for “displayName” as you used in step 3 when naming the group in Active Directory.

  1. Click OK to save your changes.

 

Give the servers about 10 or 20 minutes to replicate and then your group should be available in the Global Address List. However it might take a day or two of replicating for it to appear in the Offline Global Address List.

 

 

Creating a @unl.edu address for your new email group

 

If you would like to be able to send messages to your new email group from outside of the Office 365 environment then you need to have a @unl.edu address created and pointed at your new group. The creation of the @unl.edu address has to be done by a UNL Email Administrator. You can request this work to be done by entering a ticket into mysupport.unl.edu.
