Impact of Migration to the new Billing Services system
How will I be impacted by the move to the new ITS Billing Service (Powered by Pinnacle)?
In general, the impact is limited to the new URL and the look and feel of the application. The information to which you have access remains the same. Detailed information on the specific changes will be communicated prior to the July 2018, bill cycle.
The manner in which you engage the ITS teams for service and billing does not change. For examples, requests will continue to be submitted via TRS. Contact information for the Centrex and Accounting teams does not change.
Departmental Billing Date Changes
Why is the cutoff date for departmental billing account changes moving?
The current cutoff date is directly before the bill cycle run date. We will be changing the bill cycle run date from the 15th to the 10th of the month; thus the cutoff date will be moved.
Will the layout of my bill change as part of the move to the new system?
Yes. The layout will change; however, the bill will continue to reflect the same information as your previous bills. The new layout is being designed with the end user in mind. A user guide 'How to Read Your Bill' detailing the specific changes to the bill will be made available prior to the July 2018, billing cycle, which will be the first time the bill is generated by the new ITS Billing Service (powered by Pinnacle).
I see a 'Bills Created Prior to July 2018' link above. What does it mean?
The link is used to access our previous ITS Billing Services' System (powered by MySoft). Any bill that was generated by that system remained in that system. It was not migrated to the new system. This means that you use Bills Created Prior to July 2018 to see any bill generated prior to July, 2018. Use the Production Login to access the new ITS Billing Services' System (powered by Pinnacle).
I am one of the multiple people in my department who interact with the tool. Why do I need my own account for access? Wouldn't it be more efficient to use shared accounts?
The use of shared accounts for logging into services is discouraged and university policy outlined in Executive Memorandum 16 forbids the use of shared passwords. With our inCommon infrastructure, one of our obligations is that every account needs to be traceable back to a specific individual. Using individual accounts ensures that we're in compliance with university policy and the Research & Education Federation Security Incident Response Trust Framework for Federated Identity (SIRTFI).
Reviewing ITS billing Services' bills for my department has been added as a new responsibility for me. What do I need to do to gain access?
The first step is to submit a completed ITS Billing Services Departmental User request form. Once submitted, you will be set up as an authorized user in the system and granted access to the appropriate department's bill.

How can I view a list of calls for my department?
Departmental users will be able to review call detail online as part of their monthly bill in a similar manner as you do today for bills generated by ITS Billing Service (powered by MySoft). See 'How to Read Your Bill' for details.
Cost Center Changes
How do I request a cost center change?
Departmental requests need to be submitted via Request Submission (TRS). Once in TRS, use the Cost Center Change form under Accounting.
I want to ensure I receive all notifications instead of having them considered junk or spam. From where might I receive communications regarding my department's bill?
You will continue to receive notifications from email@example.com until this address changes in the future. Before any email address change, you will be informed of the change with details to prevent future notifications from being treated as spam.
